1. Introduction

Vishsol LLP operates Hostelez, a PG & Hostel management platform intended to help owners and managers of shared residential accommodations (including Paying Guest accommodations and Hostels) manage rooms, beds, residents/tenants, rent or fees, and related administrative activities.

For the purpose of this Policy, the terms "PG" and "Hostel" refer to any form of shared residential accommodation managed through the App.

We are committed to protecting personal data and respecting the privacy of all users of the App.

This Privacy Policy explains how personal data is collected, used, stored, and shared when owners, tenants/residents, and other users interact with the App.

2. Applicability

This Privacy Policy applies to:

  • PG owners and managers who create and operate accounts on the App ("Owners")
  • Tenants whose details are added to the App by Owners ("Tenants")
  • Tenants who create or activate login access and use the App directly

3. Types of Data Collected

3.1 Data Collected from PG Owners

  • Name, phone number, email address
  • PG details, room and bed information
  • Payment and subscription details
  • Communication and support interactions

3.2 Tenant Data Provided by PG Owners (Indirect Collection)

Owners may provide tenant-related information for legitimate PG management purposes, including:

  • Name
  • Phone number
  • Room / bed allocation
  • Rent amount and payment status
  • ID proof details (if required by the Owner)

Such data is provided by the Owner in their capacity as the party directly managing the accommodation.

4. Tenant Consent and App Usage

4.1 Tenant Data Entry by Owners

Owners are permitted to add tenant details to the App without the tenant being required to log in or accept the App policies at the time of data entry. This is done solely for accommodation management, rent tracking, and record-keeping purposes.

4.2 Tenant Login and Consent

Tenants are required to review and explicitly accept this Privacy Policy and the Terms & Conditions of the App upon their first login.

Consent is obtained through a clear digital checkbox mechanism. Without such acceptance, tenants will not be permitted to access or use tenant-facing features of the App.

4.3 Tenants Who Do Not Log In

If a tenant does not activate or use their login access:

  • No acceptance of App policies is recorded
  • Their data is processed solely on behalf of the Owner
  • The data is not used for marketing, profiling, or unrelated purposes

5. Purpose of Data Processing

Personal data is processed only for legitimate purposes, including:

  • Managing PG / hostel accommodation, rooms, and beds
  • Rent calculation, tracking, and payment status
  • Communication related to accommodation and services
  • Compliance with applicable laws and record-keeping requirements
  • Platform security and fraud prevention

6. Legal Basis for Processing

Data is processed based on one or more of the following grounds:

  • Legitimate business purposes of PG management
  • Contractual necessity (for users who accept the Terms)
  • Consent (where required, including tenant login)
  • Legal obligations under applicable laws

7. Data Sharing and Disclosure

We do not sell personal data.

Data may be shared only with:

  • Payment gateway providers (for processing payments)
  • Cloud service providers (for secure hosting and storage)
  • Government or legal authorities, if required by law

All such sharing is limited to what is strictly necessary.

Personal data is retained only for as long as necessary:

  • To fulfill the purposes stated in this Policy
  • To comply with legal and accounting obligations

Owners may delete tenant records when no longer required, subject to applicable laws.

  • Restricted internal access

However, no system can be guaranteed to be 100% secure.

10. User Rights

Subject to applicable laws, individuals may:

  • Request deletion of data, where permissible

13. Governing Law and Jurisdiction

This Privacy Policy shall be governed by and construed in accordance with the laws of India. Courts in Telangana shall have exclusive jurisdiction.

By using the App or, where applicable, by accepting this Privacy Policy, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy.
